Privacy Policy

This policy explains what personal data Kaizen Services Ltd collects through kaizenservicesltd.com, why we collect it, and what your choices are. We keep it short because we collect very little.
1. Who we are
Kaizen Services Ltd, company number 78497035, Unit B, 12/F Hang Seng Causeway Bay Building, 28 Yee Wo Street, Causeway Bay, Hong Kong. You can reach us at joachim@kaizenservicesltd.com.
For the data described in this policy we are the data controller. When we work inside an agency's client ad accounts, we handle that data on the agency's instructions, under the written agreement we have with the agency. That work is not covered by this policy.
2. What we collect and why
Contact form. If you send us a message, we collect your name, work email, agency name, agency website (optional), the platforms you are interested in, your monthly ad spend range, and your message (optional). We use this to reply to you, to assess whether we can help, and to follow up on your enquiry. Our legal basis is our legitimate interest in answering business enquiries and, where you ask us for information before working together, taking steps at your request.
Email. If you write to us by email, we keep the correspondence for the same purpose.
Phone and WhatsApp. If you call or message us, we receive your phone number and whatever you tell us, and we use it for the same purpose. WhatsApp is operated by Meta, which processes the messages under its own terms and privacy policy.
Website analytics. Only if you accept analytics cookies, we use Google Analytics 4 to see which pages are visited, how visitors arrive, and what device and browser they use. We do this to understand and improve the site. Our legal basis is your consent, which you can withdraw at any time.
Technical data. Our hosting provider processes your IP address and basic request details to deliver the site and keep it secure. Our legal basis is our legitimate interest in running a secure website.
We do not ask for payment details or sensitive personal data through this site, and we do not sell personal data.
3. Cookies and similar technologies
When you first visit, a banner asks whether you accept analytics cookies. Until you accept, we load nothing from Google. If you decline, nothing is loaded on this or later visits. You can change your choice at any time with "Cookie settings" in the footer. If you decline after having accepted, we remove the analytics cookies we can reach.

Google Analytics is loaded through Google Tag Manager. If we ever add other tags, for example for advertising, we will update this policy and ask for your consent first.
4. Who receives your data
We share data only with the providers we need to run the site and answer you:
- HubSpot, our customer relationship management system, where contact form enquiries are stored. Our account is hosted in the EU.
- Cloudflare, which hosts the website and processes the contact form request.
- Our email provider, which handles the correspondence we exchange with you.
- Google, for analytics, only if you accept analytics cookies.
- WhatsApp, operated by Meta, only if you choose to message us there.
These providers act on our instructions under their own data processing terms. We may also disclose data where the law requires it.
5. Transfers outside your country
We operate from Hong Kong and China, and our providers run global infrastructure. Your data may therefore be accessed or stored outside the European Economic Area and the United Kingdom. Where the law requires safeguards for such transfers, we rely on the standard contractual clauses and similar measures included in our providers' data processing terms.
6. How long we keep data
We keep enquiries and correspondence for as long as needed to handle your request and any business relationship that follows. If no relationship develops, we delete the enquiry within 24 months of our last contact. Analytics data is kept according to the retention setting of our analytics property.
7. Your rights
Depending on where you live, you can ask us to give you access to your personal data, correct it, delete it, restrict or stop our use of it, or send it to you in a portable format. Where we rely on your consent, you can withdraw it at any time. Email us at joachim@kaizenservicesltd.com and we will respond within the time the law allows.
If you are unhappy with how we handle your data, you can complain to the Office of the Privacy Commissioner for Personal Data in Hong Kong or to the data protection authority in your own country.
8. Security
The site is served over an encrypted connection, access to our systems is limited to the people who need it, and we keep the data we hold to what is necessary. No online service can be guaranteed to be completely secure.
9. Children
This site is for businesses. It is not directed at anyone under 18 and we do not knowingly collect their data.
10. Changes to this policy
If we change this policy, we will update the date at the top of this page. If a change affects how we use your data in a material way, we will tell you more directly.
